Executive Assistant to the Vice President of Enrollment Management

Position Information

Salary: $22–$24/hour

Organizational Relationship: Reports to the Director of Enrollment Management Operations

Position Status: Non-exempt, Full-time

Position Summary: Provide strong administrative support to the Enrollment Management Leadership team, which includes the Directors and Vice President for Enrollment Management (VPEM).

Duties & Responsibilities:

  • Submit expense reports for the VPEM
  • Ensure front desk, guest areas, and kitchen are clean and presentable
  • Handle errands and time-sensitive requests to support the team and VPEM
  • Coordinates meetings and prepares meeting notes.
  • Coordinate travel arrangements for VPEM as well as team conferences and events
  • Assist with Admissions events for students and Enrollment Management team
  • Responsible for purchasing and maintaining inventory of supplies for office and events
  • Process applications and provide administrative support for Early College Program (ECP), Teacher Induction Program (TIP), and School of Advanced Leadership Training (SALT)
  • Acts as a liaison between the VPEM and various departments of the University and outside vendors; compose written and email correspondence and communication for VPEM
  • Maintain a high level of confidentiality
  • Other duties as assigned to support departmental Division

Education/Experience: Bachelor’s degree preferred. Experience in office environment and/or higher education preferred.

Knowledge and Skills:

  • Solid grasp of Excel to develop and maintain spreadsheets with varied formulas and formatting
  • Moderate to high typing speed is also needed to ensure work can be completed promptly.
  • Must be able to compose articulate and concise business letters and other correspondence.
  • A “can-do” attitude is essential as the role may include a variety of tasks including filing, handling constant phone calls or drop-by personnel, or representing the Vice President or the management team at meetings, University functions, etc.
  • Excellent computer skills and strong working knowledge of Microsoft Office Applications
  • Excellent interpersonal and telephone skills, including customer service, to provide positive and welcoming interaction with students, parents, and other university staff
  • Must be self-directed and able to take initiative.
  • Flexibility to work with a wide variety of personalities and temperaments

Accountabilities: Dependability and timeliness in attendance and completion of work. Able to maintain confidential information. Positive and professional representation of the University at all times.

Mental Demands: Must be highly organized, detail and multi-task oriented. Able to prioritize responsibilities, solve problems, and analyze systems.

Visual Demands: Extensive use of computer monitor. Proofreading. Filing and retrieving documents.

Physical Demands: Long intervals at keyboard and telephone. Bending/kneeling to access files. Able to lift/move up to 20 lbs.

Environment: Very busy, fast-paced, service-oriented environment. Professional attire is required. Extensive contact with students and fellow staff both in person and by phone.

Character: Must embody Christian character and be actively involved in a local church.
